Procedures for Past Due Accounts

Below is list of our collections responsibilities within Accounting:

  • Past due balances under $1,000.00 – Jessica
  • Past due Balances $1,001.00 to $10,000.00 - Iesenia
  • Past Due Balances $10,001.00 to Infinity - Leo

If one of the above is out, please contact Leo, Gustavo or Diane in this order. Remember that this is the list for collections. If you need an immediate credit approval, see Leo and/or Iesenia.

  1. For non-key retail accounts: before contacting accounting, check the customer A/R tab for notes (ex. check if ok to release for week ending xx/xx/xx). For these accounts, if the customer is consistently past-due, accounting will review and put the account “on hold” and will then notify the customer service team.
  2. Before contacting accounting, open past due invoice (if multiple, spot check a few) and under audit tab on the invoice, make sure it was either emailed or mailed. If invoice has not been sent, email/mail it and if you have more than 10, give Susie the customer number and have her send out invoices.
  3. Email the correct accounting team member according to the customer’s total past due balance and that team member will pursue payment.
  4. Email Leo or Iesenia if you need a shipping approval. In the email indicate the customer number, the total balance of the current orders that need to ship out, and indicate if you can see that the invoice(s) were sent.

For Key Retail Accounts – if an account is past due but not on hold, you are ok to continue shipping as Leo monitors these accounts and is responsible for putting these accounts on hold if necessary. If an account is in “On Hold” status and the customer calls requesting shipment or resolution of the issues, please forward that call to accounting (per schedule above). If an account has been downgraded to “prepaid” status and the customer has questions, please connect them with Leo or Iesenia.
